Our Process
Five steps, zero surprises, one working system
Every project — from a single workflow to a company-wide automation program — runs through the same five steps. Here's exactly what happens at each one.
-
1. Discovery
30 min · freeA free call where you talk and we listen. We map how work actually flows through your business — the tools, the handoffs, the workarounds nobody admits to — and identify the processes bleeding the most time.
You get: A shortlist of your highest-cost manual processes, ranked by automation payback.
-
2. Audit
3–5 daysWe go deep on the winning process: interview the people doing it, trace the data step by step, and design the target system. Then we put numbers on it — hours saved, error costs removed, tooling costs — and fix the price.
You get: A fixed-price proposal with architecture, timeline, running costs, and the payback math.
-
3. Build
1–5 weeks, by scopeSenior builders construct the system in short cycles with a written update every week. Error handling, retries, and logging go in from the first workflow — not bolted on at the end. You see progress continuously, not at a big reveal.
You get: A working system in a staging setup, plus weekly written progress updates.
-
4. Test
3–7 daysThe system runs against your real data while the old process keeps running in parallel. We hunt edge cases — the weird CSV, the customer with two accounts, the API that times out — and fix them before they can ever page anyone.
You get: A verified parallel run with reconciled results, signed off by your team.
-
5. Handover & Support
ongoing, optionalGo-live, then everything you need to own it: documentation, a video walkthrough, credentials in your hands, and 30–60 days of included fixes. Stay on a retainer and we monitor, maintain, and keep shipping improvements — or run it yourself. Your call.
You get: Full ownership, documentation, included post-launch fixes, and an optional retainer.
What it's like
Working with us, practically
Async by default
Written weekly updates and a shared Slack or email thread. Meetings only when a decision genuinely needs one.
Your time cost: ~3 hours
A typical project needs three short sessions from you: the discovery call, one process walkthrough, and the handover demo.
Least-privilege access
We request the minimum credentials needed, stored in a vault, revocable by you at any moment — and we'll ask you to revoke what's unused at handover.
Step one is free and takes 30 minutes
Book a free 30-minute automation audit. We'll map your most expensive manual process and show you exactly what it would take to automate it — no obligation, no fluff.
Usually booked out 1–2 weeks — grab a slot early.
